Guidance Notes

r  STARTING AT THE KIDS CLUB

Everyone will be excited about your child starting at the kids club, but we must remember that while a new experience can be quite overwhelming for a child.  To this end we are very flexible and try to tailor the child’s needs with those of the parent/carer.  So when a starting date has been arranged we would ask that you make time available to visit with your child to settle them in until he or she is happy to stay with us.  This can take a while but you may be surprised at your child’s early acceptance of the new environment.  Time spent settling a child will benefit the child in the future.

r  WHAT YOU NEED TO SUPPLY

Pre-School – You will have to supply a named bag which contains nappies, wipes etc if applicable, a full change of clothes, just in case of small accidents.  We will serve snack, milk or water, with a variety of fresh fruit & vegetbales for the children to choose from.
After School Club – We will serve juice and snacks on arrival from school, and then everyone sits down for a cooked evening meal at 5pm.  So children with special dietary requirements will have to provide their own snack.

Holiday/Inset Activities Club - you will need to supply a full packed lunch, we do ask that a varied lunch be supplied as we do promote healthy eating for all.  Please do not put in too much chocolate as this does have a habit of melting on everything.

Clothing – Please ensure that all your children’s clothing has their name clearly marked on it.  Swimming kits will need to be supplied on Inset Days & Holiday Clubs, as we do go swimming and have a fun session everyday of every holiday.

r  OTHER REQUIREMENTS

When booking a space we require a one off £15.00 booking fee to cover all settling in fees, Administration and Insurance costs. Upon application to the Kids Club you will be given an application form and the opportunity to discuss your child’s details and personal requirements. All information will be treated in strictest confidence.

r  SNACKS

The club provides a snack to all children no matter which session they are attending.  This consists of a hot or cold choice in the morning, milk, water, and a selection of fruit in the afternoon, and both for the holiday club. We will certainly try our best to cater for all tastes and diets. Please remember to tell us of any special dietary requirements including vegetarians, ethnic and/or religious needs. It may be necessary for parents to supply some special foods.

r  ACTIVITIES

Your child will be encouraged to participate in a wide range of activities. These will include water, paint, collage, clay, sand, play-dough, music, computer games, football, rounders, treasure hunts, theme days, dressing up, role play, and much much more.  As we do have an outdoor area, activities will be varied for both in and outdoors.  In the summer, we will be having a paddling pool, but a qualified lifeguard supervises this activity.  Many of the children’s achievements and work will be displayed throughout the club for all to see.

r  STAFF

All FTA staff are motivated to help create a stimulating and caring environment for the children’s enjoyment. All staff are fully qualified to NVQ Level 2 or NVQ Level 3 in Childcare, and also hold certificates in the following: - First Aid, Health & Safety, Child Protection, Equal Opportunities, CRB and Basic Food Hygiene, as well as completing ongoing staff training and updates.

r  BUILDING

Barnmead Pavilion is situated on open playing fields and next to a brand new playground.  The full address is Barnmead Pavilion, Off Partridge Road, Harlow, Essex, CM18 6UZ.  There is ample parking to the front of the building.  The builing is on the ground floor and is fully accessable for both children and adults.

r  SAFETY AND SECURITY

The club has regular fire drills, and has been fully inspected by the local fire department.  The club is fully equipped with fire extinguishers, fire blankets and smoke alarms, which are all tested regularly.  We operate a strict no smoking policy at the club for both inside the main buildings and also in the garden areas at all times.

r  NO SHOW POLICY

You must advise us as soon as possible if your child will not be at club, whether off sick, holiday, school trip or being collected by a parent.

r  COLLECTION POLICY

If there is a change to the person collecting your child from club, please ensure that you have advised us of the name of the person collecting your child, and that they have the correct password.  We will not allow children to leave club with anyone not authorised by you previously.

r  EMERGENCIES

All staff on duty hold current First Aid Qualifications, so are able to deal with all minor emergencies at once.  It is important that the registration forms that you complete when your child starts with the FTA Kids Club have as many contact numbers as possible, so we can contact you in the event of an emergency. Should your child need medical attention hospital/doctor etc then a member of our staff will accompany your child as per your wishes, and stay with him/her at all times, this member of staff will be a qualified First Aider, and will only act on your behalf until such a time that you are able to attend.

r  MINOR ACCIDENTS AND INCIDENTS

I’m afraid, as every parent knows it is inevitable that from time to time children will have bumps, scrapes and falls. If you child does have a bump or fall you will be informed, all the details will be recorded in the accident book, a copy of which you will need to sign and date, this way both parties are in agreement to any treatment given.

r  SICKNESS AND MEDICATIONS

If your child is taken ill during any session, he or she will be encouraged to rest and you will be notified to take your child home.  Children will not be admitted into the club with an infectious illness such as measles, chicken pox, diarrhoea and sickness, or high temperature.  Calpol will be administered with your written consent. We advise that any child who has been prescribed antibiotics should not be attending for at least 48hrs, as they may still be infectious.  In the case of diarrhoea and sickness an absence of 24hrs as advised. Written parental permission will be needed if your child requires prescribed medication.  Please speak to a member of staff who will provide you a form.

r  CHILD PROTECTION POLICY

It is the FTA Kids Club responsibility under the CHILD PROTECTION ACT to protect and ensure the safety and well being of all the children in our care at all times.  FTA Kids Club has a full written Child Protection Policy, which is available for all to see, as it is a more in depth document and goes fully in to detail about all our policies and procedures.

r  BEHAVIOUR POLICY

Although we have a relaxed atmosphere, we do have a behaviour policy within the club.  We still expect the children to behave appropriately, respecting the usual school rules.  The consequences of any behaviour we receive will get a period of time out, this is used for all behaviour problems encountered when in club, any continued behaviour problems will be discussed with the parents/carers concerned.  All observations are recorded on their individual records.

r  EQUAL OPPORTUNITIES & INCLUSION POLICY

We do have a Full Equal Opportunites Policy in place, and is available should you require to see it in more detail.  In summary our Equal Opportunities Policy means that we provide care to children aged 2yrs up to 142yrs, whatever their age, culture, disability, gender, language, racial origin and religeous beliefs and/or sexual identity.  As part of the Inclusion Policy every child has the right to be treated fairly and equally in out Out of school childcare facility.
